The Onboarding process starts once the candidate accepts our offer and decides to join NSO. At this point you will be notified by the Greenhouse system that the employee has been hired.
- Contact your new team member:
Congratulate them on their decision. Call them or even send a nice WhatsApp message. - Invitation to company events:
Even though they have not formally joined the company, feel free to invite them to company events like holiday parties or team events so that they can become familiar with their team.
A week before your new team member joins NSO, start preparing so that everything is ready for their first day.
You will be asked to define the required equipment for your new team member.
Your new team member will receive a short clip explaining what to expect on their first day at NSO.
- WhatsApp your new team member and check they have everything they need. Tell them you are waiting for them.
- Assign a buddy and send them the Short Buddy Guide clip.
- Create an onboarding plan for the employee’s first week. Use this template and consult with your HRBP.
- Logistics – Ensure to follow up with IT and Operations that everything is ready for their first day (laptop with required software, cellular, workstation...)
Your new team member will arrive at 11:00 to the front desk. Their day will start by completing the necessary paperwork and receiving a short brief and useful information from the Reception Team.
Their buddy should meet them there and accompany them during their first hours to ensure that they become familiar with their surroundings.
A Welcome Kit will be waiting for them at their desk.
They will receive their phone and laptop and will be accompanied to their workstation by their buddy.
A Welcome Email will be sent to them automatically and will include general guidelines, learning materials and useful information.
When arriving home, a bouquet of flowers will be waiting for them.
- Make sure the buddy you assigned has all the information they need.
- Including the Training Plan you have prepared for them
- Set your first 1:1 meeting with them and use the following topics list for discussions during the meeting, including the first week’s agenda you have prepared for them.
The first week is a critical part in the onboarding process, and how the new employee experiences NSO.
During their first week they will be invited for briefing by the Finance and Security teams.This week is also a week of self-learning, meeting people and receiving a first assignment.
- Make sure your new team member completes the Self-Learning units
- Make sure you have
a weekly 1:1 meeting set with your new team member. This is especially important during the onboarding period. - Follow up on your new team member’s well-being.
- Follow up with their buddy.
- Towards the end of their first week, make sure they receive their first work assignment.
- Make sure a meeting with HRBP is set for the employee.
- Provide the Training Plan you have created to your new team member and to his buddy.
During their first month, your new team member is still learning while you expect them to take an active part in their team’s tasks and activities.
- Provide adjusted work tasks (level of complexity, volume, urgency).
- Set a meeting for them with the Group Director and/or C Level Management.
- In 1:1 meetings, ensure that the employee’s learning plan is going as planned.
- Make sure your employee is registered for the upcoming orientation day.
At the end of the 3 months the onboarding process officially ends and the new employee is an "NSOer"
- Conduct a review with your HRBP.
- Conduct a review with your employee: check additional learning needs and professional development, social assimilation and sense of belonging. See suggested topics for discussion.
- Set their
work plan and assignments for the coming Q (quarter). - Ask them for feedback on their onboarding experience.
